college admissions process and increase the college enrollment rate of low-income students. Today’s
college admissions system leaves behind a key portion of America’s talent: low-income, academically
mid-tier students. Working in partnership with the critical players in the college-access challenge –
students, parents, high schools, and colleges – College Summit enables all these players to accomplish
what none can do alone: ensure that the community harnesses the talent of all college-capable students.

RESPONSIBILITIES:

The Office Manager is responsible for managing the daily operations of College Summit’s fast-paced
New York City office. The Office Manager will bring excellent organizational skills and administrative
support capabilities to ensure smooth and effective execution of College Summit’s mission to increase
college access and enrollment among low-income students. Duties for this position include, but are not
limited to:

• Provides administrative support to the Region’s Executive Director including scheduling and
meeting preparation.
• Coordinates with National departments in order to plan, manage and execute the office’s move to
new office space.
• Coordinates with the National Finance Team to manage the office’s contracting and invoicing
processes.
• Designs and maintains paper and electronic file management systems; provides database support.
• Operates a multi-line phone system, supplies general information to callers and directs callers to the
appropriate staff member.
• Welcomes visitors and notifies the appropriate staff member of their arrival.
• Ensures the professional appearance of the office by maintaining the reception area, conference
rooms, supply area, copy room and kitchen.
• Performs general office tasks such as sorting mail, faxes and deliveries in a timely manner,
scheduling conference rooms, and coordinating bulk office supply orders with the National
Facilities Management Team.
• Arranges and assists with occasional social and general office events such as luncheons,
birthdays, office parties, etc.
• Manages office workspace layout and allocation, including the set up of work spaces for new
employees and assists with employee on-boarding.
• Assists with external vendor relationship management (FedEx, couriers, and delivery services) in
coordination with the National Facilities Management Team.
• Manages office environment and facilities (keys, lights, heat and A/C, appliances, phones and
copiers) and serves as the primary liaison with the building manager.
• Becomes familiar with the functions of all office equipment, provides support and develops basic
training procedures for office staff.


• Minimum of 7 years of directly related experience in office management, administrative support
and/or receptionist positions required.
• Experience providing support to senior-level management is considered highly desirable.
• Demonstrated experience in creating and managing effective and efficient office systems.
• Experience working with common office management software, including MS Office and
experience providing administrative support using Outlook.
• Excellent organizational and communication skills, with the demonstrated ability to effectively
communicate with a wide variety of internal and external audiences.
• Ability to work collaboratively in a faced-paced, deadline-driven, innovative and entrepreneurial
work environment.
• Enthusiasm for College Summit’s mission of helping low-income students enroll in college.
• Bachelor’s degree required.
